Booking Your Event Rentals: A 50% deposit is required to fully book your event. The rest of the balance is due 3 days before your event date. A credit card is required even if you pay your deposit in cash or check. Payment options may vary on Event Total Price: Please ask your salesperson for details Fees may apply when using a Debit/Credit card:
Cancellation In the situation of a cancellation,(100% of the total deposit amount )is nonrefundable, customer must cancel in a timely manner. If a customer cancels within 2 weeks of the event, (75% of the total amount) will be charged. If the customer cancels 3 days prior or the day of the event customer will be responsible for 100% of the total amount. Please ask your salesperson for details-
Invoice Item Adjustments Quantities of items are recommended to be finalized 2 weeks before your event Date.
LAST-MINUTE CHANGES: We strive to accommodate requests for adding available equipment to an order before delivery. While we may be able to accommodate 'Last Minute' (three (3) days or less notice) additions, please note that due to loading and delivery schedules, fulfilling these requests with the original order may not always be possible. Additional trips for equipment delivery or pick-up will incur extra charges per trip.
REDUCING EQUIPMENT COUNT: Make changes to your order by reducing item counts up to three (3) days before your delivery date. A 10% restocking fee will apply for any reductions made within three (3) days of delivery. Orders canceled or reduced less than twenty-four (24) hours before the earliest delivery time or after delivery will be charged in full.
Delivery and Pickup Scheduled Times:
Delivery and Pickup times are only approximate due to traffic and other conditions E-Rentals has no control of.
JOB SITE PREPARATION: Ensure your site is ready for installation by clearing any obstacles that may hinder access to the equipment. Any delays or extra labor required due to site unpreparedness will result in additional charges.
TENT SUBSURFACE CONDITIONS: Ensure smooth installation! Inform us of any underground pipes, cables, or conduits that may affect the placement of our equipment. If undisclosed, any extra expenses incurred due to hidden conditions will be the responsibility of the customer. Please be aware that we are not accountable for any harm caused to underground obstacles
WATERPROOF: While our canvas and vinyl products have been treated for water repellency, we cannot guarantee they are completely waterproof.
Customer Self-Carryout and Self-Return: The customer is completely liable when doing self-carryout and self-return of any rentals; the customer will be responsible for self-loading and unloading, unless specified otherwise on contract.*Please ask your salesperson about details and fees if any when requesting loading/unloading staff.
Must present a valid current ID when picking up any rentals.
Set Up & Tear Down Service: When requesting set-up services from E-Rentals, the customer is responsible for scheduling a site visit with an Event & Field Specialist. If a Site Visit is not requested by the customer- the customer is responsible for sending E-Rentals a full detailed layout of the event floor plan. All Items will be set up according to the Diagram or Site Visit Notes- Please make E-Rentals Aware of all items that need to be set up. E-Rentals can also set up items provided by customers or other vendors- requirements, and fees have to be discussed before the event date. If Set-up Services are not requested, the customer is responsible for the set-up of rentals.
Tear Down
At tearing down time- E-Rentals can only begin when guests are fully out and allow staff to begin Tear Down- E-Rentals is not responsible for picking up any trash from tables or flooring. If E-Rentals staff is delayed in the beginning time of tear down, the staff is not responsible for not meeting the required tear down completion time. If Tear Down Services are not requested, the customer is responsible for tear down and is required to fold and stack all chairs ( this can include palletizing) and other rentals as directed by E-Rentals Staff. Additional Rental items will require preparation for pick up as well. Please ask your representative for more information.
Outdoor Events
E-Rentals Is not responsible for any weather conditions (including Wind- Rain- etc.) that may interfere with staff setup in any circumstances. For example delay timing of tent set-ups due to wind conditions and other situations that the wind or any weather conditions may affect.
Linen Rentals
E-Rentals gives you two options- Self-set up and E-Rentals Set up & Tear Down Service. If Self-set up is chosen- you are fully responsible for inspecting all linen material for any damages or imperfections, if there are any damages- you are to contact E-Rentals immediately so E-Rentals can take note of it and or process an exchange of material. If E-Rentals is not contacted promptly after inspection- the customer will be fully responsible for linen material damage/lost fee. After the use of linens, the customer is not responsible for any washing; thus, linens should be shaken out and free of any food or debris. Please make sure all linen is dry before it is placed in any linen bag or container. If you choose E-Rentals Set Up and Tear Down Service you should be stress-free and let E-Rentals Staff handle it all.
Dance Floors When renting dance floors make sure that you inspect the dance floor to confirm that it is all complete and has no damage. If you notice damage please make E-Rentals staff aware. When renting Dance Floors for SAND space- it is recommended to be very careful - sand can become very slippery. We recommend no food/ beverages at any time on the dance floor. E-Rentals Events is not liable for any accidents or damages that occur on Dance Floors.
Damage Waiver
Each rental contract offers an optional damage waiver for an additional charge to cover your responsibility for the damage to the merchandise caused in the course of normal use.
The Damage Waiver does not cover the repair or replacement costs of items that are misused, mishandled, or otherwise abused (for example: a chair breaks when being used as a ladder). Replacement charges will be assessed on any equipment due to loss, theft, abuse, or intentional damage by the customer
Damage Waiver is an optional 9% of the total rental and covers reasonable, accidental damage to the equipment incurred with normal use. It is optional and is non-refundable. Damage waiver has a Cap of $1000.00 in coverage.
If the damage waiver is declined and any rental items are damaged, the customer will be responsible for the replacement charges for the damaged item.
Responsibility for equipment remains with the customer from delivery until return. Please be sure equipment is secured when not in use and is protected from weather and irrigation/sprinkler equipment. Broken equipment must be returned for the Damage Waiver to apply.
Linen that gets wet during an event may mildew if you put them in a plastic bag. The damage waiver does not cover mildew as it is the customer's responsibility to let linen air dry if/before bagging them.
PERMITS & LICENSES: Ensure Compliance with Regulations: Before equipment installation, customers are required to secure all essential permits, licenses, and consents at their own cost. Customers can also opt to engage E-Rentals for permit acquisition at an additional fee.
COMPLIANCE: By agreeing to our terms, the customer undertakes not to engage in any illegal activities or use the rental items in an unsafe manner. It is the customer's responsibility to adhere to all relevant municipal, county, state, and federal laws and regulations while using the rental items. Under no circumstances should the rental items be used when in need of repair or in an unsafe condition. Any modifications, misuse, or abuse of the rental items are strictly prohibited. Additionally, repairs should not be conducted without prior written permission from the rental center.
Customer Commitment
HOLD HARMLESS: Customer agrees to take all necessary precautions to ensure the safety of the rented items and protect all individuals and property from harm. By agreeing to this, the customer also commits to indemnify, defend, and hold E-Rentals & Tents Inc. harmless from any liability, claims, legal judgments, attorney fees, or costs of any kind resulting from injuries, property damage, or any other incidents related to the rental items. It is important to note that when canopies or tents are placed near buildings or structures, there is a higher risk of property damage. However, the customer acknowledges that E-Rentals will be willful for any property damage caused during the delivery, installation, removal, or positioning of tents or canopies.
I understand and accept all terms and conditions of E-Rentals & Tents Inc. to return all material in good/proper condition. I understand that if any damage or accidental damage (without a DAMAGE WAIVER) happens to the material while in my power or use, I accept full responsibility; I accept that in case the material is damaged or lost, I will pay its full replacement cost. I agree to pay charges for exceeding the time agreed by E-Rentals & Tents Inc. and I sign by common agreement. I also accept full responsibility after inspecting and counting all materials and accept full liability for all rented items from E-Rentals & Tents Inc. If the contract is canceled deposits will not be refunded. When you receive your rental items from E-Rentals, our team will carefully count and verify everything. By accepting the count provided by E-Rentals & Tents Inc., you acknowledge the accuracy of the inventory. If there are any missing or damaged items during the return process, whether picked up by us or through self-return service, you agree to cover the full replacement cost based on our official count. E-Rentals & Tents Inc. prices are subject to change without prior notice.
